How to Get More Survey for your $: 4 Things to Consider

A lot of site surveys are scoped as if the goal is to collect as much information as possible.

That is usually the wrong goal.

The real purpose of a site survey is to move uncertainty out of construction and back into planning, where problems are still cheaper to solve.

That means the best survey is not necessarily the most detailed one. It is the one that gives architects, engineers and planners the information they actually need to make the decisions that come next.

After 28 years doing this work, I think there are four things that consistently make survey scopes more useful and more economical.

1. Start with decisions, not deliverables

Before asking for an RCP, elevations, roof plans, above-ceiling documentation or anything else, ask:

What decision are we going to make with this information?

That question changes the scope quickly.

If the project is raising a ceiling to 12 feet, you do not necessarily need every object above the ceiling documented to the same level.

You need to know what prevents you from getting to 12 feet.

Something hanging at 10 feet matters. It needs to be located, measured and understood.

Something sitting safely at 14 feet may only need enough documentation to confirm that it exists and is out of the way.

The scope should follow the decision.

Otherwise, you can spend a lot of money creating information that nobody ever uses.

2. Put precision where the consequence is highest

Not every field condition deserves the same tolerance.

If something is being manufactured off-site and has to fit when it arrives, precision matters.

Millwork. Kitchen equipment. Fixtures. Anything fabricated around existing conditions.

The same is true where engineers are going to perform calculations from the survey.

Beam depth matters if someone is calculating structural capacity. Duct size matters if someone is calculating airflow. Electrical capacity matters if the design depends on the existing service.

That is where precision earns its keep.

Other conditions may only need enough information to support planning.

That does not mean being careless. It means matching the level of accuracy to the consequence of being wrong.

3. Match the format to the downstream use

More elaborate deliverables do not automatically create more useful information.

Take a window.

If the floor plan already establishes its horizontal location and width, and the planning team only needs the sill height and vertical dimension, those additional measurements can simply be noted.

You may not need to draft an entire elevation just to communicate that information.

The exception is when that elevation or model is already on the project’s critical path.

If the architect ultimately needs a Revit model and it makes sense for the survey team to build it, then great. That modeling work is advancing the project.

But if you are creating an elaborate deliverable simply so someone can extract one or two pieces of information from it, question whether the format is adding value.

The same thinking applies to level of detail.

In many survey applications, pushing a model to LOD 300, 350 or 400 adds significant effort without changing the decisions anyone can make from it.

For a piece of existing equipment, shape, size and location may be all that is required.

The question should be:

Does this additional drafting or modeling help someone make a better decision, or are we just making the deliverable more elaborate?

4. Give the survey team the context behind the scope

A survey team can go to site and collect exactly what you asked for.

But the best results happen when they also understand why you are asking for it.

We call that client intent.

If we understand the end goal of the project, we can do more than simply check boxes on a scope. We can recognize conditions in the field that nobody knew to ask about.

And every site has them.

There will always be something unusual: an unexpected piece of structure, an odd mechanical condition, something hidden behind a finish, an obstruction, or a condition that does not match what anyone expected.

The important question is whether it matters to what you are trying to accomplish.

If the surveyor understands the client intent, they can make that judgment.

They can ask: Is this going to interfere with the design? Is this something the architect or engineer will need to know? Could this become a problem later? Should I investigate this further while I am already here?

Without that context, the survey team can only give you what you asked for.

With it, they have a chance to give you what you need.

That does not mean expanding the scope endlessly or documenting every unusual condition in extreme detail. It means giving the people in the field enough understanding to recognize when something unexpected is relevant.

A strong scope tells the survey team what to collect.

A strong project brief tells them why it matters.

You need both.

The point of a site survey is not to create the biggest drawing package possible.

It is to create useful certainty.

When architects and engineers start with information they trust, they can make better decisions. Construction documents hold up better against real-world conditions. Contractors encounter fewer unknowns.

And problems that could have become expensive field surprises become manageable planning issues instead.

That is why I do not think of a site survey as documentation.

I think of it as risk transfer.

The better the scope, the more risk you move out of construction and back into planning, where it is cheaper to solve.
